FORCE DE MAJOR & RAIN (72 HOURS OR LESS)

We understand that unexpected circumstances can arise, and strive to accommodate our clients in the best way possible. Our cancellation and refund policy for group-events canceled due to weather conditions, or Force De Major are as follows:

Expert Active will update the client lead contact with a pre-event weather forecast 72 hours before the scheduled event. If conditions are such that an event cannot continue, then Expert Active will suggest plans to reschedule the event to a different day or, if possible, a different location, or offer an alternate event.

If the client is unable or unwilling to reschedule the event, a 10% or $250 administrative fee based on the event being canceled (whichever is greater) will be charged, with the remaining amount issued as a credit or refund via check or card, minus any incurred processing fees. If there are costs associated with the event that cannot be refunded such as food and beverage orders, Expert Active will deliver the items to the client at the contractually agreed upon price and refund the remaining balance.

If conditions are still safe to run the event, but the client wishes to cancel because conditions are not ideal, no refund will be issued.

We strive to provide the best client experience possible. If a client feels any detail in our policy is unfair or deterring them from booking, contact us via email to see if we can negotiate a solution that is fair for all parties.

15 DAY CANCELLATION POLICY

If an event cancels 15 days or more before its date, we will refund 50% of the event deposit (25% of the total) minus any non-recoverable fees we may have incurred by reserving equipment and staff.

If an event cancels 15 days or less before its date, the 50% event deposit will be forfeited.

If we deem that there is inclement weather or hazardous conditions making it unsafe to proceed with an event, we will suggest alternate activities, locations, or days for the group. If the group wishes not to proceed with the revised plans, we will refund the deposit, minus a 10% or $250 administrative fee (whichever is greater).  If there are costs associated with the event that cannot be refunded such as processing fees, food and beverage orders, or produced materials, Expert Active will deliver the items to the client at the contractually agreed upon price and refund the remaining balance after non-recoverable COGs and administrative fees.
